About us

Hua foundation is a youth empowerment non-profit working on racial equity and civic engagement issues on unceded territories and lands, in particular, those of the three title-holding Nations: the xʷməθkʷəy̓əm (Musqueam), Sḵwx̱wú7mesh (Squamish), and səl̓ílwətaʔɬ (Tsleil-Waututh), colonially known as Vancouver, British Columbia, Canada. Our work lives at the intersection of cultural heritage and social change. Our roots are in Vancouver’s Chinatown and we have been working for years alongside youth and community members from the Asian diaspora.

Job description

Hua foundation is hiring a part-time (10 hours/month) permanent Administration & Bookkeeping Assistant. This role will be responsible for ongoing tasks that support hua foundation’s overall operations and administration. This position has an intended start date of August 6, 2024.

We recognize that the part-time nature of this position may require flexible working hours to accommodate other commitments (e.g. education, other employment, family), and emphasize the importance of work-life balance. As such, we will work with the selected candidate to identify ideal schedule coordination. 

This role is for remote work, with optional part time access to our shared office space at 312 Main (schedule and space permitting). As per our organizational COVID-19 policies (available on request), all staff are expected to be fully vaccinated. 

This position is supervised by hua foundation executive director, kevin huang. 

Responsibilities

This position is responsible for administrative functions occurring on a number of regular schedules: bi-weekly, monthly, quarterly, and annually. This includes 10 hours/month of standard bookkeeping tasks following our existing accounting cycles (first business day after the 15th and last day of each month). In addition, there are predictable seasonal tasks throughout the year that include quarterly financial reporting tasks, bi-annual reconciliation cycles, and annual filings.

Responsibilities of the position include:

  • Managing bookkeeping tasks, including accounts payable and accounts receivable;
  • Utilizing online accounting software (Quickbooks) to maintain accurate and up-to-date financial records across multiple projects and portfolios, and for the organization overall;
  • Processing and recording expenses from reimbursements and organization credit cards;
  • Maintaining and updating accounting spreadsheets and journal logs to ensure compliance  with the organization’s rules and regulations, and any other relevant legislation;
  • Supporting the Executive Director with financial reporting and budgeting processes, and submitting annual Society reports, payroll information returns, and other government filings;
  • Renewal of insurance, leases, and certifications;
  • Maintaining the confidentiality of the organization, its business, and other private information and records; and
  • Other administrative duties as requested and/or assigned.

Please note that as part of bookkeeping responsibilities (e.g. accounts payable and accounts receivable), this position is required to be a member of Vancouver City Savings Credit Union (Vancity). However, (not) having an existing membership will not impact candidacy in any way. 

Compensation

This position has an expected workload of 10 hours per month, and is paid at an hourly wage of $26.09 + 15% in lieu of comprehensive non-wage benefits.

About you

We recognize that there are many power dynamics at play that affect one’s access to educational and experiential opportunities, at varying and overlapping intersections of race, ethnicity, gender, sexuality, dis/ability, class, socio-economic status, citizenship, etc.. For many people in our communities, traditional ‘skills, assets, and qualifications’ lists can act as a barrier to employment and other opportunities. 

With this in mind, our priorities for this position include:

  • Lived experience and nuanced understanding of the Asian diaspora and related community challenges, and/or experience working with racialized communities in a social change context;
  • Strong critical thinking ability and courageousness in asking tough questions;
  • Being proactive, driven, and reliable;
  • The ability to communicate support and access needs, and to ask for help;
  • Emotional maturity, and an openness to learning and engaging in different ways of thinking; and,
  • A commitment to social- and systems-change, particularly from an anti-oppressive and justice-based lens, and how these play out in and among racialized communities that experience discrimination and marginalization.

In addition to the above, the following capacities are relevant to this position: 

  • Proficiency in QuickBooks, Microsoft Excel, and Google Sheets;
  • Strong understanding of Generally Accepted Accounting Principles;
  • Experience with organizational accounting, financial reporting, and bank reconciliations;
  • Strong fluency in asynchronous work systems and platforms (Slack, Google Workspace) and online work environments (Zoom);
  • Strong written and verbal English language communication skills;
  • An affinity for and fluency working in the language of numbers, math formulas, and numeric communication;
  • Strong organizational and time management skills, attention to detail, and ability to work both independently and in a team environment;
  • Meticulous attention to detail;
  • Experience working in a nonprofit organization is an asset, but not required; and,
  • Formal training (e.g. bookkeeping certificate, accounting degree) or equivalent combination of experience in accounting or related fields is an asset, but not required.
